External participants are expected to cover and arrange their accommodation and travel plans. If you would like to find the most affordable flights to Brussels, we suggest using basic search engines like www.skyscanner.net or www.amadeus.net.
Equinet will arrange a group reservation at a hotel in Brussels for participants coming from Equinet members. However, Equinet is only able to finance the participation of around 45 persons coming from its Member Organisations. Due to the expected high demand for this seminar, Equinet will be able to immediately confirm the participation of only one representative per Member Organisation. Any subsequent candidate participant from a same organisation will be put on a waiting list until 30 April 2013, in order to allow enough time for each member organisation to decide whether or not to send a representative to the seminar. After that deadline, remaining seats will be allocated on a first-come first-served basis following the chronological order of registration. Member organisations interested in delegating more representatives to the event at their own costs are invited to contact the Secretariat.
Due to Equinet’s budgetary constraints, we encourage you to book your flight or train tickets at your earliest convenience in order to avoid any overpriced tickets. If you would like to find the most affordable flights to Brussels, we suggest using basic search engines like www.skyscanner.net or www.amadeus.net. Equinet will reimburse participants’ flights up to a maximum of 300 EUR, unless prior booking authorization has been granted by the Equinet Secretariat for a more expensive ticket. If you are unable to find a flight cheaper than 300 EUR, please contact the Equinet Secretariat and we will try to assist you. Reimbursements are only possible when an original Equinet reimbursement form (which you will receive shortly after the seminar) has been correctly filled in and sent to the Equinet Secretariat. ORIGINAL expenses proofs (receipts, invoices…) and Boarding pass stubs (both ways) have to be attached to the reimbursement form for the expenses to be taken into account. Any undocumented expense will be disregarded.
